Maybe you’ve started the New Year thinking that you really need a better understanding of your client base, their needs and how you are performing when you attempt to meet their needs.   Anonymous surveys that your customers fill out can provide you with very valuable data so you can tailor your products or services to what your customer base is really after, however it’s important to make sure you’re not overloading them when you are trying to get this information.

Those who have the task of putting the surveys together are then left to deal with the struggle of adding that one additional question, while they worry about customers blowing off the survey completely because it takes up more of their time to complete than they can allow.

Striking the right balance between survey length and getting the data you actually need to see how you’re performing with your customers is not an easy thing to do, but here are some tips that might help:

  1. Use enticing copy on both the invitation and the welcome page of your survey.
  • A clearly stated time commitment should be easy to find

  1. Keep sensitive questions for the latter part of the survey
  • Don’t scare off your respondents right off the bat with a controversial question, let them warm up to it and put it at the end of your survey.
  1. Try the advanced tools that are available online
  • Online tools can give survey authors a wider array of tools to use to tailor the survey to the people they are trying to connect with, like using branch logic, which routes the users to the questions that pertain the most to them because of previous answers given.
  1. Create additional invitations
  • The respondents to your first survey may also be the proper target for a second or third survey so you can try sending them additional invitations after they complete the first survey.  It’s also less stress on the survey author so the initial survey could be kept much shorter if there are additional opportunities to dig deeper into an issue.

Choosing the right Tablet PC for You

If you are interested in getting a tablet PC to make your work or home life easier to manage and have access to the internet, media and other applications while on the go, you may want to weigh out the variety of options out there before making a purchase.

1st consider the screen size, tablets come with screens as small as 8.9” and can get as large as 13.3”, but bigger isn’t necessarily better in this case.  Keep in mind that unlike desktops, tablet PC screens are really meant to be small.

You also need to decide on what kind of performance you are looking for and weigh out your options for speed and memory.  Unless you have money to burn, the most expensive tablets can probably be avoided and you’ll probably be looking at something mid level.  Set a budget for yourself and read customer reviews carefully so you know what you’ll be getting from a user perspective.  You’ll also want to review how many additional ports the unit has if that’s on your priority list.

It’s also important to consider the style you want, because if you’re like most users, you’ll end up living with this tablet for a while.  Hard drives are another item to consider before making your purchase.  Solid state disk (SSD) hard drives are quieter, faster and produce less heat.  However, mechanical hard drives are typically bigger and less expensive.

Doing your homework on this purchase can only end up in good results that will keep you happier with your tablet for a longer period of time and that’s no small thing when we are a society that is “plugged in” so much of our time.

Choosing the Right Scanning Solution

In today’s business world, it is becoming more and more common to switch from hard-copy, paper documents to electronic versions and to do this; most of us employ some sort of scanner to transform our documents for emailing or electronic filing.  However, which option for scanning is best for you and your business?  Below are some items to consider when choosing your scanning option.

If you or your staff are scanning documents daily for routine processes when dealing with your clients, desktop scanners may be the right choice for you.  Desktop scanners can be inexpensive and the set up is usually pretty minimal so you can be up and running in a very short period of time.  These smaller, dedicated desktop scanners also seem to have high image quality capabilities and a variety of file formats available to the user.

A multi-function printer can serve businesses that do a reasonable volume of scanning documents, but could also take advantage of the other features this type of machine has to offer and give up some of the bells and whistles that come along with a dedicated desktop scanner if multiple employees need to access the scanner.  Some multi-function machines also give you some basic indexing function to sort and store documents.

Network scanning is great for larger organizations that need to scan information across multiple departments by multiple users.  Network scanning can increase workflow and save time as it allows for the sharing of documents across departments.  Network scanners also have security features that allow for sensitive documents to be locked and only accessible to authorized users or departments.

Once you find the right scanning system for you or your business, you’ll be amazed at how much easier you can manage the transfer of information between you, your clients and even your own staff in some cases.

Servers – More than Meets the Eye

November 2011 Bottom Line

Maybe when you started your business, getting a server to be the back bone of your business infrastructure was just too far out of reach.  So, you created an environment for your business with a variety of PCs doing the work of the one machine you had to live without.  However, now might be time to rethink this method of keeping your office up and running because there are a lot of advantages to making the investment in a server.

A server powered by husky Intel processors can deliver more and cost you less, along with a lot less headaches.  Servers can also offer a smaller business a more clearly defined path to future growth.  If you’ve been working with a nest of PCs in your current environment, you’re no stranger to the problems associated with managing all of these machines, the security risks that you sometimes face and how costly it can be if you run in to problems.  Servers usually offer you built-in, automated features that stop security breaches before they get deeply embedded in your infrastructure.  They also have collaborative features for users that are working in the office and remotely that are easy to use.

Managing a server over a cluster of machines allows you to better monitor your workflows from any location, manage your storage needs and can even help you automate your data backup.  Taking the time to research and find the right server for your business needs is the first step for you to create a more efficient, productive and growth oriented environment.

You need to be able to service the needs of your customers at any time and having a server with all your applications or files that can be accessible to multiple teams at the same time without delays is what will put you ahead of your competition; so it’s an investment you can’t afford to not to make.

Cyber Security Still a Major Concern

October 2011 Bottom Line

Once again the country took time to honor those who lost so much 10 years ago in the terror attacks that took place on September 11th.  It is important that we use it as a constant reminder that we can never be too careful.  That doesn’t just mean while we’re traveling, cyber attacks are just as much a concern with the dawn of social media.

According to Dr. Farshid Delgosha, a professor at the New York Institute of Technology the reason cyber attacks are becoming more prevalent is because consumers are able to access the Internet and complete tasks from basically anywhere through mobile devices.  Wireless traffic exchanges can be monitored by hackers and someone’s device can be accessed so personal data can be stolen.

Social Media is another cause for increased cyber attacks, because let’s face it, it makes the Internet and sharing information with people so much more fun and pleasurable so you end up doing it more often.  Cloud computing could be another weak point that hackers could take advantage of, but Dr. Delgosha thinks this technology needs additional work and understanding before taking a stance on security.

It’s important that we all take the security concerns with our mobile devices, social media and other forms of information technology very seriously.  Dr. Delgosha along with his entire team at the NYIT are putting on a Cyber Security Conference on September 15th to examine and bring awareness to all of the security issues consumers will face if you are interested in gathering more information.
